  并不是所有的外貿(mào)員都是天生下來(lái)就會(huì)用英語(yǔ)寫(xiě)商務(wù)信函了,它們也是會(huì)遵循一些信件格式的寫(xiě)作的。下面是我給大家整理的,供大家參閱!      英文商務(wù)信函寫(xiě)作格式 英文信函分為混合式和齊頭式。   混合式:每一段的首行縮排兩格。落款在信末中間靠右下的位置。   齊頭式:信的所有內(nèi)容都靠左,段與段之間空一行。   英文信函的習(xí)慣用法,由以下幾個(gè)方面組成:   1信頭 The heading   信頭是指信紙上印刷或列印的企業(yè)名稱、廠稱、地址、電話號(hào)碼、電報(bào)掛號(hào)、主管人姓名等。通常情況下,公司都會(huì)專門(mén)印制帶有信頭的信箋紙,包括發(fā)信人的姓名,地址,電話,傳真等。當(dāng)我們撰寫(xiě)傳統(tǒng)信件時(shí),直接使用這種信箋紙就可以。   2編號(hào)和日期 The reference number and the date   方便以后查信使用。Your ref: 你方編號(hào) Our ref: 我方編號(hào)   日期通常列印在信頭的右下方位置,或在寄信人姓名和地址的下方位置。日期的英式寫(xiě)法是日、月、年;美式寫(xiě)法是月、日、年。為了避免誤解,日期、年份用數(shù)字表示,月份則用英文表示,第一個(gè)字母要大寫(xiě),也可用縮寫(xiě)。比如May,1998美式寫(xiě)法;1,May,1998英式寫(xiě)法。   3信內(nèi)地址 The inside address   與信封上的收信人名稱和地址相同,通常列印在信紙的左側(cè),低于日期位置2—4行,也可在簽字位置下2—4行。   書(shū)寫(xiě)收信單位名稱時(shí),應(yīng)特別尊重對(duì)方的習(xí)慣,不能隨意增刪公司名稱前的冠詞The,也不能隨意改用繁寫(xiě)及縮寫(xiě),如pany與Co.之間不能互換,否則會(huì)被認(rèn)為是不禮貌的行為。收信人地處的書(shū)寫(xiě)格式與信封相同。   4稱謂 The salutation   在英文信函中,相同于“閣下”、“先生”等類禮貌性稱謂,常用Dear sirs”;稱呼企業(yè),公司的婦女組織常用Madams,Ladies;無(wú)具體收信人姓名用Dear Sir or Madam 稱呼收信者。   收信人是個(gè)人,就應(yīng)在收信人姓名之前加稱謂,如Mr.先生,Mrs.夫人,Miss小姐,Hon用于稱呼市長(zhǎng)、部長(zhǎng)、大使等,Pres.總經(jīng)理、會(huì)長(zhǎng)、總統(tǒng)等,Prof.教授等等。   5開(kāi)頭語(yǔ)The open sentences   開(kāi)頭語(yǔ)沒(méi)有統(tǒng)一的格式,但習(xí)慣上先用客套的語(yǔ)句把收到對(duì)方來(lái)信的日期,主題及簡(jiǎn)單內(nèi)容加以綜合敘述,使對(duì)方一目了然這是答復(fù)哪一封去信的。如果是第一次通訊,也可以利用開(kāi)頭語(yǔ)作必要的自我介紹,并表明目的要求。開(kāi)頭語(yǔ)一般與正文分開(kāi),自成一節(jié),要求簡(jiǎn)單明了。   6正文 The body of the letter   正文的地位和內(nèi)容與中文書(shū)信相同。在英文商業(yè)信函中,信文從稱謂下兩行起書(shū)寫(xiě),行間相距一行,段落間空兩行。信文以占信紙的四分之三為宜,四周留出一定空白,每一行左起第一字要取齊,右起第一字不必一律取齊,但盡量要考慮到整齊美觀。   7結(jié)尾語(yǔ)The closing sentences   結(jié)尾語(yǔ)一般用來(lái)總結(jié)文字所談的事項(xiàng),提示對(duì)收信人的要求,如“希望來(lái)信來(lái)函定貨”,“答復(fù)詢問(wèn)”等,另外也附加一些略帶客套的語(yǔ)氣。正文結(jié)束后,另起一段寫(xiě)結(jié)尾語(yǔ)。   8結(jié)束語(yǔ) The plimentary close   英文商業(yè)信函的結(jié)尾是寫(xiě)信人的謙稱,相當(dāng)于“敬上”的意思。若收信者為公司,謙稱則常用:   Yours Truly,Truly Yours,Yours faithfully等;若收信者為個(gè)人,則常用:Yours sincerely,Sincerely yours等。需要注意的是,結(jié)尾的謙稱后必須加逗號(hào)。   9簽署 The signature   簽署由兩部分組成,一是寫(xiě)信人的簽名,二是打印出的寫(xiě)信人的姓名。簽名用鋼筆或圓珠筆寫(xiě)在結(jié)尾謙稱下5行的位置內(nèi)。盡量不要用印章,用印章的話,說(shuō)明該信件并非本人親自過(guò)目,只是通函而已,不為人重視。為易于辨認(rèn),在簽名下還應(yīng)列印姓名,有時(shí)還將職銜一并列印。常見(jiàn)的職銜有:   Chairman of the Board of directors董事長(zhǎng),President或Genera1 Manager總經(jīng)理,Director董事,Stand Director常務(wù)董事,Manager經(jīng)理,Head of Department職員,Manageress女經(jīng)理,   Head of a Department處長(zhǎng),Section chief科長(zhǎng)等。   需要指出的是,寫(xiě)信人如要代表企業(yè)單位或代理簽署時(shí),應(yīng)在結(jié)尾謙稱下打印出全部大寫(xiě)的企業(yè)單位名稱,然后才簽署,以表明該信不是以寫(xiě)信人個(gè)人身份寫(xiě)的,信由所述事宜均由企業(yè)單位負(fù)責(zé)。   10、附件 Enclosure   如果信中有附件,應(yīng)在左下角注明Encl. 或Enc.。   例如:   Encls: 2 Invoices   Enc.: 1 B/Lading   11其它   商業(yè)信函除上述內(nèi)容外,還經(jīng)常遇到以下情況:  ?、賹?xiě)信人提請(qǐng)對(duì)方特定人員注意時(shí),可在信內(nèi)姓名及地址的下面或在稱呼同一行之右側(cè)說(shuō)明,并加上Attn.Attention的縮寫(xiě)字祥,也可在字下劃?rùn)M線表示。  ?、趯?xiě)信人為使對(duì)方迅速、正確地理解信所談的主題與目的,常在信內(nèi)列出“事由”項(xiàng),記在信文的上方,并在Subject底下劃?rùn)M線,以提醒對(duì)方注意。  ?、蹫楸阌谏虡I(yè)信函留存查閱并分清責(zé)任,書(shū)信下部注有發(fā)信人及打字員姓名的第一個(gè)字母,位于署名下兩行的左下方。  ?、転檎f(shuō)明信所附附件,便于收信人清點(diǎn),可在發(fā)信人及打字員姓名的字母下行加注。  ?、萑缧盼膶?xiě)完后需要補(bǔ)充一點(diǎn),或加附與信文主題無(wú)關(guān)的簡(jiǎn)短內(nèi)容時(shí),可在信文末尾附件下加附言,用P.S.Postscript的縮寫(xiě)引導(dǎo)。   對(duì)國(guó)外商業(yè)業(yè)務(wù)往來(lái)信函的結(jié)構(gòu)格式舉例如下: 日期 May,20,1998,收信人 Mach &.Welson,   地址340 Camedle Ave Kemlworttl,N.T,   注意 Attn:Mr. Jack G. 1、口語(yǔ)化   每一封信函的往來(lái),都是跟收信人彼此之間的一次交流。人都是感性的,所以需要在信函里體現(xiàn)感性的一面。然而很多人都有一種誤解,以為寫(xiě)作商務(wù)信函就應(yīng)該用一種特殊的“生意腔”,于是把一封本來(lái)應(yīng)該是熱情而友好的信函寫(xiě)得呆板而死氣沉沉。他們寧愿寫(xiě)“Your letter has been received”,“Your plaint is being looked into”而不是“I have received your letter”或者“We are looking into your  2、語(yǔ)氣語(yǔ)調(diào)   由于信函都是有其目的性的,所以信函里所采用的語(yǔ)氣語(yǔ)調(diào)也應(yīng)該符合寫(xiě)信人的目的。在寫(xiě)之前先不妨仔細(xì)考慮一下,寫(xiě)這封信函是想達(dá)到一個(gè)什么樣的目的,希望對(duì)收信人產(chǎn)生一種怎樣的影響呢?是歉意的,勸說(shuō)性的,還是堅(jiān)決的,要求性的。這完全可以通過(guò)信函中的語(yǔ)氣語(yǔ)調(diào)來(lái)表現(xiàn)。   3、真誠(chéng)   不管是生活中的交往還是生意上的合作,真誠(chéng)是最重要也是最基礎(chǔ)的,所以信函也必須能夠充分體現(xiàn)真誠(chéng)。不管說(shuō)什么,都要帶著誠(chéng)意去說(shuō)。   4、直接   信函一定要寫(xiě)得簡(jiǎn)明扼要,短小精悍,切中要點(diǎn)。如果是不符合主題或者對(duì)信函的目的不能產(chǎn)生利益的內(nèi)容,請(qǐng)毫不留情的舍棄它們。因?yàn)檫@些內(nèi)容不僅不能使交流通暢,反而會(huì)混淆視聽(tīng),非但不能讓讀者感興趣,反而會(huì)讓他們惱火,產(chǎn)生反感。   5、禮貌   禮貌,并不是簡(jiǎn)單用一些禮貌用語(yǔ)比如your kind inquiry, your esteemed order等就可以的。而是要體現(xiàn)一種為他人考慮,多體諒對(duì)方心情和處境的態(tài)度。   特別要注意,當(dāng)雙方觀點(diǎn)不能統(tǒng)一時(shí),我們首先要理解并尊重對(duì)方的觀點(diǎn)。如果對(duì)方的建議不合理或者的指責(zé)不公平時(shí),請(qǐng)表現(xiàn)一下高姿態(tài),可以據(jù)理力爭(zhēng),說(shuō)明自己的觀點(diǎn),但注意要講究禮節(jié)禮貌,避免用冒犯性的語(yǔ)言。   6、簡(jiǎn)潔   就象前面提到的,要用簡(jiǎn)潔樸實(shí)的語(yǔ)言來(lái)寫(xiě)信函,讓信函讀起來(lái)簡(jiǎn)單,清楚,容易理解。用常見(jiàn)的單詞,避免生僻或者拼寫(xiě)復(fù)雜的單詞。一個(gè)單詞可以表達(dá),就不要用片語(yǔ)。多用短句,因?yàn)槎叹涓菀桌斫?。少用“and”,“but”,“however”,“consequently”這些讓句子變得冗長(zhǎng)的連詞。在同一封信函里,不要使用多個(gè)相同含義的單詞。比如,前面寫(xiě)了“goods have been sent”,那后面再提到這件事時(shí)就不要再用其他單詞如“forward”“dispatch”等。因?yàn)檫@樣寫(xiě)會(huì)誤導(dǎo)讀者無(wú)謂地去考慮這些詞之間是否另有含義。最好是一件事情寫(xiě)一段。   8、精確   當(dāng)涉及到資料或者具體的資訊時(shí),比如時(shí)間,地點(diǎn),價(jià)格,貨號(hào)等等,盡可能做到精確。這樣會(huì)使交流的內(nèi)容更加清楚,更有助于加快事務(wù)的程序。   9、針對(duì)性   請(qǐng)?jiān)卩]件中寫(xiě)上對(duì)方公司的名稱,或者在信頭直接稱呼收件人的名字。這樣會(huì)讓對(duì)方知道這封郵件是專門(mén)給他的,而不是那種群發(fā)的通函,從而表示對(duì)此的重視。當(dāng)然,如果無(wú)法確定收信人的名字,那就在稱呼一欄里寫(xiě)“Dear Sirs” or “Dear Sir or Madam”。   10、語(yǔ)言樸實(shí)   商務(wù)信函不需要用華麗的詞句。根據(jù)西方的語(yǔ)言習(xí)慣,他們更愿意使用簡(jiǎn)練而樸實(shí)的語(yǔ)言。所以當(dāng)我們跟西方人進(jìn)行商務(wù)溝通時(shí),也要盡量避免華麗復(fù)雜的詞句。比如“We look forward to a bright and glorious future of cooperation”,就不如直接寫(xiě)成“We hope to have the opportunity to work together with you in the future.”,這樣才更加符合西方人的語(yǔ)言習(xí)慣。   11、回復(fù)迅速及時(shí)   給買家的回復(fù),千萬(wàn)要迅速及時(shí)。因?yàn)橘I家通常只看最先收到的幾封回復(fù),從中去選擇合適的供應(yīng)商。如果您的回復(fù)不夠及時(shí),就可能因?yàn)閾尣坏较葯C(jī)而失去商機(jī)。   12、標(biāo)題   這一點(diǎn)是特別針對(duì)寫(xiě)電子郵件的。也許很多人都沒(méi)有意識(shí)到,事實(shí)上,E-mail的標(biāo)題是很重要的一個(gè)部分,郵件給對(duì)方的第一個(gè)印象就是通過(guò)標(biāo)題來(lái)完成的。如果標(biāo)題沒(méi)有內(nèi)容,看起來(lái)象群發(fā)的垃圾郵件的話,很多買家就會(huì)直接刪除。比如這樣的標(biāo)題“How 在國(guó)際貿(mào)易領(lǐng)域,無(wú)論對(duì)于新創(chuàng)建的貿(mào)易公司,還是對(duì)希望擴(kuò)大業(yè)務(wù)與銷售量的原有公司而言,同其預(yù)期的客戶建立商務(wù)關(guān)系都是至關(guān)重要的手段之一。眾所周知,客戶是事業(yè)發(fā)展和壯大的基石。 位置在下面稱呼語(yǔ)隔一行,是信的核心部分。因此要求正文層次分明、簡(jiǎn)單易懂。和中文信不同的是,正文中一般不用Hello!正文有縮進(jìn)式和齊頭式兩種。 每段書(shū)信第一行的第一個(gè)字母稍微向右縮進(jìn)些,通常以五個(gè)字母為宜,每段第二行從左面頂格寫(xiě)起,這就是縮進(jìn)式。但美國(guó)人寫(xiě)信各段落往往不用縮進(jìn)式,用齊頭式,即每一行都從左面頂格寫(xiě)起。商務(wù)信件大都采用齊頭式的寫(xiě)法。 稱呼: 是寫(xiě)信人對(duì)收信人的稱呼用語(yǔ)。位置在信內(nèi)地址下方一、二行的地方,從該行的頂格寫(xiě)起,在稱呼后面一般用逗號(hào)(英國(guó)式),也可以用冒號(hào)(美國(guó)式)。 (1)寫(xiě)給親人、親戚和關(guān)系密切的朋友時(shí),用Dear或My dear再加上表示親屬關(guān)系的稱呼或直稱其名(這里指名字,不是姓氏)。例如:My dear father,Dear Tom等。 (2)寫(xiě)給公務(wù)上的信函用Dear Madam,Dear Sir或Gentleman(Gentlemen)。注意:Dear純屬公務(wù)上往來(lái)的客氣形式。Gentlemen總是以復(fù)數(shù)形式出現(xiàn),前不加Dear,是Dear Sir的復(fù)數(shù)形式。 (3)寫(xiě)給收信人的信,也可用頭銜、職位、職稱、學(xué)位等再加姓氏或姓氏和名字。例如:Dear Prof. Tim Scales, Dear Dr.John Smith。
